EVENTS – THE PANALITIX Annual Conference 2017




TICKET HOLDER – The name in which the ticket has been purchased

TICKET – Entry to the events  -THE PANALITIX Annual Conference 2017 aka THEPAC 2017


1.1   Payment is required with booking.

1.2   One ticket includes entry to the Welcome Party,  three day Conference and Gala Dinner only.  Flights, accommodation, additional activities, food and beverages (outside the associated events) and additional guests to the Welcome Party and Gala Dinner are extra and the full cost of these expenses are the responsibility of the ticket holder.  Please note that Partial Pass Tickets are not for sale.

1.3  Tickets may not, without the prior written consent of PANALITIX Pty Ltd, be resold or offered for resale at a premium or used for advertising, promotion or any other commercial purposes (including competitions and trade promotions).  Should a ticket be sold or used in breach of this condition, the ticket may be cancelled without refund and the bearer of the ticket may be refused admission.


2.1  All cancellations must be in writing and sent to:

Please note:   NO refunds or credits will be given under any circumstances. This extends to additional event tickets purchased such as but not limited to Spouse Tickets.

2.2  In the event that the Organiser cancels the event for any reason, the Organiser will not be liable for the reimbursement of any on costs such as accommodation, flights or any other associated expenses incurred by the ticket holder or guest.

In the event of industrial disruption or other unforeseen circumstances, the Organiser and associated Organisers accept no responsibility for loss of monies incurred by the delegates.

2.3  The ticket holder may substitute the name of the ticket with written notice to the Organiser no later than seven days prior to the event.


Registrant names may be included on a delegate list – only name, title and company will be displayed. We may contact non-member attendees to Panalitix events with promotion information. If you do not wish to receive such information please email


The Organiser, under no circumstances, will accept responsibility for any injury, illness or loss of items whilst  travelling to the event, during the event, or return travel from the event. Any and all required insurance covers shall be the responsibility of each attendee/guest, insurance covers include but are not limited to; workers compensation,  public liability and travel insurance.


All original content of the PANALITIX Pty Ltd must be acknowledged.


The Organiser has the right to change advertised programs, speakers, sponsors, venues, seating arrangements and audience capacity at any time without notice to any ticket holder.


In the event you accept free tickets to an event (whether stand alone or as part of a promotion) you agree to provide valid credit card details for PANALITIX to hold in case of no-show. Should the ticket holder register the morning of and attend the event, no charge will be processed. However, if a free ticket is accepted and no one attends, a fee will be processed (predetermined amount dependant on the event). If you believe a fee has been incorrectly charged, please notify accounts@panalitix.comwithin 7 days of the event.


The Organiser shall not be liable for any failure of or delay in the performance of this Agreement for the period that such failure or delay is due to causes beyond its reasonable control, including but not limited to acts of God, war, strikes or labor disputes, embargoes, government orders or any other force majeure event.

Exhibitor Terms & Conditions

You or anyone on whose behalf you are acting (the Exhibitor) agrees to observe the following terms and conditions (the Exhibition Terms), and any additional terms and conditions advised by Panalitix Pty Ltd ABN 25 600 462 155 (PANALITIX) to the Exhibitor from time to time for the efficient and safe operation of “ThePAC2017” to take place between 26th April – 30th April 2017 (the Event), all of which constitute a part of these Exhibition Terms.

To book, the Exhibitor should fill out a booking application form and email the completed form to All bookings are sold subject to availability and these Exhibition Terms. The Exhibitor should read these Exhibition Terms carefully prior to making a booking application. PANALITIX reserves the right to accept or decline any booking application in its sole discretion. Where PANALITIX accepts a booking application, PANALITIX will provide the Exhibitor with a tax invoice in accordance with clause 2 below.

2.1 All prices listed on this site are exclusive of GST

2.2 PANALITIX will send the Exhibitor an invoice for the cost of the exhibition space (as set out on the booking application form) if the Exhibitor’s booking application is accepted. The invoice must be paid via the contract terms by the due date which will be reflected on the invoice. The Exhibitor’s booking space may be reallocated if the invoice is not paid in full by the due date.

3.1 Cancellation or Rescheduling of the Event by PANALITIX:
PANALITIX may, in its sole discretion, cancel or postpone the Event for any reason. Where PANALITIX does so, it will notify the Exhibitor of such cancellation or postponement in writing. Subject to clause

3.2, if the Event is cancelled, or postponed and the Exhibitor is unable to participate in the rescheduled event, the Exhibitor will receive a full refund. PANALITIX is not responsible, and will not be liable, for any of the Exhibitor’s costs associated with the Event including travel costs if the Event is cancelled or postponed.

3.2 Force Majeure: If the Event is cancelled or postponed for a reason outside of PANALITIX’s control, including any act of God, natural disaster, fire, rain, wind, storm, earthquake, or any other unforeseen event or catastrophe, PANALITIX will not be obliged to refund any part of the Exhibitor’s fee or be liable for any of the Exhibitor’s costs associated with the Event.

3.3 Cancellation by the Exhibitor: Following confirmation of a booking application, the Exhibitor may still notify PANALITIX that it no longer wishes to take part in the Event. If the Exhibitor notifies PANALITIX of such intention within 14 days from booking confirmation 100% of the fees paid will be refunded. After 14 days from booking confirmation the Exhibitor will not be entitled to a refund of any kind.

3.4 Cancellation by PANALITIX for the Exhibitor’s breach or misconduct:
PANALITIX may terminate these Exhibition Terms and retain any amount paid to PANALITIX under these Exhibition Terms in the event that the Exhibitor: (a) infringes any of these Exhibition Terms; (b) does not fully occupy the site during the full period of the Event; or (c) acts in anyway, whether prior to or during the Event, which is deemed by PANALITIX to be detrimental to PANALITIX or the Event.

3.5 Cancellation by PANALITIX for insufficient attendee numbers:
PANALITIX may cancel or postpone the event if attendee numbers fail to reach 50% of that anticipated.

4.1 Venue’s conditions: Exhibitors must abide by the terms and conditions set forth by the hosting venue, the Hamilton Island. A copy of their Conference and Exhibitor Manual can be made available by request.

4.2 Floor Plan/Allocation: PANALITIX will be accepting bookings up to three weeks prior to the Event, which means that the floor plan will not be finalised, or provided to the Exhibitor, until two weeks prior to the Event. PANALITIX will consider requests for specific exhibition space, however, when finalising the floor plan, exhibition space will be allocated based on what works best for the Event as a whole (e.g., like services will be grouped together etc.). Priority will be given to those exhibitors who send their signed contract and full payment in first. PANALITIX’s decision as to the allocation of exhibition space is final and the Exhibitor will not be entitled to cancel their booking, or request a refund of any fees paid or payable under these Exhibition Terms, if it is unhappy with the final allocated exhibition space.

4.3 Exhibition Space: The boundary for each exhibition space will be clearly marked. The Exhibitors must ensure that no part of their display (including equipment, signage, storage facilities etc.) extends outside of the boundaries of their allocated exhibition space. In no event may the Exhibitor use rigging in the area above the Exhibitor’s exhibition space. PANALITIX or any person authorised by PANALITIX may remove items external to, or above, an Exhibitor’s exhibition space. The Exhibitor must also ensure that the exhibition space is kept clean and tidy and all rubbish removed to assigned rubbish locations during the course of the Event.

4.4 Display: The Exhibitor may use sound presentations, slides, movies, and videos at an Exhibitor’s exhibition space, however, the Exhibitor recognises that PANALITIX is not able to guarantee the ability of the Exhibitor to do so. The Exhibitor’s exhibition space must not contain anything that is distracting or a disturbance to neighbouring exhibitors or Event attendees.

The Exhibitor must not display products or any material that is determined, in PANALITIX’s discretion, to be inappropriate, including, for example, materials that are offensive, disparaging or discriminatory. PANALITIX may, in its discretion, restrict, remove or shut down an Exhibitor’s exhibition space in the event that it is not compliant with this clause

4.5 PANALITIX will not be liable for any refunds of rentals or other exhibit expenses in the event of such a restriction, removal or shut down.

4.6 Team: Exhibitors are required to have their exhibition space staffed at all times. Exhibitors must ensure that all their team working at their exhibition space display appropriate Exhibitor passes at all times. Each Exhibitor will be entitled to the number of exhibition passes outlined in the booking application form in relation to their exhibition space, unless otherwise agreed with PANALITIX prior to the Event. Exhibitors not displaying an Exhibitor pass may be asked to leave the Event.

4.7 Health and Safety: During the Event, Exhibitors must follow all directions of team employed or engaged by PANALITIX, including compliance with relevant laws, occupational health and safety requirements, and Venue guidelines. All electrical equipment and leads must conform to Australian electrical regulations and guidelines.

4.8 One Company per Exhibition Space: Unless otherwise approved in advance by PANALITIX in writing, the Exhibitor agrees that (a) only one company’s product or service will be promoted in their booth; (b) the Exhibitor shall not assign, sublet or share their exhibition space with another business or firm; and (c) the Exhibitor is not permitted to feature names or advertisements of nonexhibiting manufacturers, distributors, or agents in the Exhibitor’s display or agents in the Exhibitor’s display.

4.9 Contractors: PANALITIX has contracted, on an exclusive basis, with official contractors to provide certain services (as outlined in the Exhibitor manual). The Exhibitor must not engage any contractors other than those contractors appointed by PANALITIX in relation to the Event, unless otherwise approved in advance by PANALITIX in writing.

4.10 Promotions and Activities: PANALITIX encourages promotions and activities at an Exhibitor’s exhibition space. However, all promotions and activities, including promotional team, must remain within the Exhibitor’s allocated site boundaries, and are not to encroach on neighbouring sites, roadways or pedestrian access.

4.11 Prizes and Giveaways: If you intend on promoting your business or product via prizes and/or giveaways, you must ensure that you hold the required permits and/or licenses and notify PANALITIX of the details. If you do not hold the required permits and/or licenses PANALITIX will not be held responsible for any fine that may be incurred.

4.12 Food and Beverage: No food or beverage from outside the Venue will be permitted, unless otherwise approved in advance by PANALITIX in writing.

4.13 Condition of Venue: You must keep the Venue, including your exhibition space, in good repair, order and condition at all times and ensure that, following the Event, it is in the same repair, order and condition as it was immediately prior to the commencement of the Event.

4.14 Delivery: The Venue will not accept any cash on delivery deliveries on behalf of the Exhibitor.

4.15 Advertising Material: The Exhibitor must not distribute advertising material anywhere at the Venue other than at the exhibitor’s exhibition space.

4.16 Lost and Found: Any enquiries regarding lost and found items should be directed to the Venue.

4.17 Responsibility for Damage Caused: The Exhibitor will be solely responsible for the cost of remedying any damage and repairs howsoever caused to the Venue. All property damaged or destroyed by the Exhibitor (whether during setup, the Event, packout or otherwise) must be replaced to its original condition at the expense of the Exhibitor.

5.1 Setup:
Setup is on the evening prior to and the day of the Event (Setup Day) at the times specified to the Exhibitor by PANALITIX. The Exhibitor’s exhibition space must be setup during this time.

5.2 Dismantle and Packout:
Dismantle will occur at the end of the final day of the Event at the times specified in the Exhibitor manual to be provided by PANALITIX. The Exhibitor must not disrupt the Event by dismantling earlier. The Exhibitor must be completely dismantled and packedout by the time specified by PANALITIX.

6.1 Liability: The Exhibitor assumes entire responsibility and hereby agrees to protect, indemnify, defend and hold harmless PANALITIX, the owner of the Venue, and their respective employees and agents, from and against all claims, losses and damages to persons or property, governmental charges or fines and legal fees arising out of or in any way caused by the Exhibitor’s installation, removal, maintenance, occupancy, or use of the Venue and exhibition space or any part thereof, excluding any such liability caused solely by the gross negligence of the owner of the Venue, its employees and agents. Neither party shall be liable for any special, indirect, incidental, consequential, punitive or exemplary damages or loss, nor any lost profits, savings or business opportunity. The maximum cumulative liability of PANALITIX and its personnel under the Exhibition Terms is limited to the total amount of fees actually paid by the Exhibitor to PANALITIX under these Exhibition Terms. The limitation of liability set forth in this paragraph is intended to apply to the fullest extent permitted by law, regardless of the grounds or nature of any claim asserted and shall survive termination of these Exhibition Terms, including any claims in negligence.

6.2 Insurance: The Exhibitor acknowledges that PANALITIX and the owner of the Venue do not maintain insurance covering the Exhibitor’s property and it is the responsibility of the Exhibitor to have adequate insurance to cover their property, travel, public liability and team members.

7.1 Website: PANALITIX may list the Exhibitor on PANALITIX’s webpage for the Event, provided that payment and booking forms are completed and received by PANALITIX by the invoice date.

7.2 Consent to Use Image: The Exhibitor consents to PANALITIX and the Venue taking and using photographs of the exhibit area, images and video footage of the Exhibitor, or the Exhibitor’s exhibition space, during the Event. The Exhibitor agrees that PANALITIX or the Venue may use such photographs, images and video footage for promotional purposes in any media in perpetuity without payment to the Exhibitor.

7.3 Exhibitor’s Use of Images: The Exhibitor is permitted to take a reasonable amount of photographs for his/her/its own promotional and marketing use provided that the Exhibitor does not infringe any of PANALITIX’s, or the Venue owner’s, intellectual property rights, including, but not limited to, the intellectual property rights PANALITIX has in the Event.

7.4 Taping Policy: All video and audio taping of the Event, or any portion of the Event, is strictly prohibited, unless the Exhibitor receives PANALITIX’s prior written approval.

7.5 Event promotion
The Exhibitor agrees to promote and share the event to their entire database via email, and on their social media platforms at least once.

7.6 Discounted event tickets
It is the Exhibitors’ responsibility to use the discount code provided to promote the event and invite their own client or prospect base at special rates.

By agreeing to these Exhibition Terms, the Exhibitor consents to receive promotional material about the Event and PANALITIX’s products. PANALITIX maintains a privacy policy that sets out the parties’ obligations in respect of any personal information that the Exhibitor provides to PANALITIX. The Exhibitor should read that policy at and the Exhibitor will be taken to have accepted that policy when the Exhibitor accepts these Exhibition Terms.

The Exhibitor acknowledges and agrees that it shall be solely responsible for obtaining any licenses, permits etc. that may be required for it to broadcast, perform, or display any copyrighted materials including, but not limited to, music, video, and software. The Exhibitor shall hold harmless and indemnify PANALITIX and the Venue from and against all claims and expenses, including legal fees and costs, arising out of or related to the Exhibitor’s breach of this provision.

10.1 Governing Law: These Exhibition Terms are governed by the laws of Queensland, Australia and the parties exclusively submit to the jurisdiction of said courts.

10.2 Intellectual Property: PANALITIX owns, or exclusively licenses in Australia, all intellectual property rights in or relating to the PANALITIX products and the naming rights to the Event. The Exhibitor agrees at all times to respect the validity and ownership of such rights and the goodwill attached to those rights and not to do or omit to do any act or thing or allow any act or thing to occur that may put in jeopardy the validity or ownership of those rights.

10.3 Alterations to Exhibitor Terms: PANALITIX reserves the right to alter these Exhibition Terms at any time and for any reason. PANALITIX will notify you in the event of an amendment to these Exhibition Terms.

10.4 Notices: Any notices given under these Exhibition Terms by either party to the other must be in writing by email and will be deemed to have been given on transmission. Notices to PANALITIX must be sent to or to any other email address notified to the Exhibitor by PANALITIX. Notices to the Exhibitor will be sent to the email address provided by the Exhibitor on the booking application form.

10.5 Waiver: If either party waives any breach of these Exhibition Terms, this will not constitute a waiver of any other breach. No waiver will be effective unless made in writing.

10.6 Severability: If any part or provision of these Exhibition Terms is invalid, unenforceable or in conflict with the law, that part or provision is replaced with a provision which, as far as possible, accomplishes the original purpose of that part or provision. The remainder of these Exhibition Terms will be binding on the parties.
